Should You Rent Or Buy Your Business Equipment?

When acquiring the right equipment for your business, like computers, machinery, printers, or big shredders for the office, you need to consider whether it’s more practical to rent or buy. Both renting and buying equipment have their advantages. Below are a few considerations to make that can help you choose between the two options.

How much can you pay upfront?

In order to buy equipment, you typically need to put down a bigger deposit than if you were to rent it. If you don’t have a lot of capital, you may find that it’s more affordable to rent equipment. Some rental companies may give you the option to eventually buy the equipment off them, however you will likely pay more overall than if you’d bought the equipment from the start.

How frequently will you use it?

It’s not worth buying equipment that you may only use for a single occasion or that you only ever use seldomly. While you can get long-term rental services, there are many short-term hire services such as portable forklift rental that can be useful for when you only need equipment for a few days to a few weeks. This prevents equipment from gathering dust on your premises. However, for frequently used items it may be worth bringing in something more permanent. For example, if you are operating a warehouse that operates with plenty of barcode scanners, then introducing barcode scanning software from CodeCorp may be a good idea. This software can help to speed up data processing and ensure the correct reading of barcodes, making it an essential tool for operations. Because the scanning of barcodes is something performed daily, purchasing the software on a permanent basis makes logical sense. Weigh the situation up like this to determine whether a purchase is necessary or not.Similarly, for specialized industrial applications, the decision to purchase critical machinery often hinges on its continuous operational demands. Equipment like a drilling mud pump, vital for maintaining circulation and pressure in drilling environments, is typically a long-term investment due to its essential role. These pumps are subjected to rigorous, ongoing use, making reliability and consistent performance paramount. For operations where downtime is costly and efficiency is key, owning such high-performance equipment ensures greater control and readiness. Therefore, assessing the long-term operational needs is crucial when considering the acquisition of specialized industrial tools.

Could you make money renting it out to others?

Of course, equipment that you rarely use can still be a good investment if you rent it out to other companies. Some companies buy heavy-duty printers and are able to make money off of them by renting them out to other companies. Of course, some companies may find that this is too much hassle, and may prefer to not share equipment.

Do you need access to the highest quality equipment?

High quality equipment can cost a lot of money upfront. Renting can be a much more affordable way to access this equipment. For example, if you are opening a high end coffee shop, you’ll likely want a high end machine. A lease could be the best way to access this machine. If you’re opening a budget restaurant and you want to provide coffees alongside other food and beverages, having a top-of-the-range coffee machine may not be as necessary and you may be able to get away with buying something cheaper.

Is your equipment likely to become outdated in the near future?

Renting equipment can be a good option for equipment that quickly becomes outdated. Some equipment lease companies allow you to replace your tech for the latest model every two or three years. This can be useful with equipment like office computers.

Do you need the freedom to make modifications?

When renting equipment, you’re generally not allowed to make any permanent modifications. Buying equipment gives you the freedom to modify equipment when you want. For example, with certain manufacturing machinery that needs to be altered for different batches, you may find that buying is a better option. Certain commercial vehicles may also benefit from being bought so that you can more freely modify them, although there may be ways of temporarily modifying them such as vinyl wrapping.
